These terms apply to all journeys delivered by coldSTONE Mountain Works. By booking a place on a journey, you agree to the conditions set out below.


1. Booking & Payment

A booking is confirmed once a deposit has been received and written confirmation has been issued.

The remaining balance is due no later than 30 days before the start date of the journey, unless otherwise stated.

If the balance is not paid by the due date, coldSTONE Mountain Works reserves the right to cancel the booking and retain the deposit.


2. Deposits

Deposits are non-refundable unless the journey is cancelled by coldSTONE Mountain Works.

Deposits secure your place on a specific journey and date.


3. Cancellation by Participant

If you cancel your booking:

  • More than 30 days before departure: balance payments will be refunded (deposit retained).
  • 14–30 days before departure: 50% of the total journey fee is payable.
  • Less than 14 days before departure: 100% of the journey fee is payable.

If your place can be filled, coldSTONE may, at its discretion, offer a partial refund.

We strongly recommend that all participants hold appropriate personal travel insurance covering cancellation.


4. Cancellation by coldSTONE Mountain Works

coldSTONE reserves the right to cancel a journey due to:

  • Insufficient participant numbers
  • Severe weather conditions
  • Instructor illness or unforeseen circumstances
  • Safety concerns

If a journey is cancelled by coldSTONE, participants will receive a full refund of payments made to coldSTONE.

coldSTONE is not responsible for accommodation, travel, or other third-party costs arranged independently by participants.


5. Minimum Numbers

Some journeys require a minimum number of participants to run. If minimum numbers are not met, participants will be informed no later than 14 days before departure.


6. Nature of the Activities

Mountain, coastal and climbing environments carry inherent risk. Participation requires acceptance of:

  • Uneven and exposed terrain
  • Changing weather conditions
  • Physical exertion
  • Remoteness from immediate assistance

By booking, participants acknowledge these risks and accept personal responsibility for their participation.


7. Fitness & Experience

Participants are responsible for ensuring that they have the appropriate fitness, experience and equipment for the journey booked.

If, in the judgement of the instructor, a participant is unable to continue safely due to fitness, behaviour or equipment, coldSTONE reserves the right to remove that participant from the journey without refund.


8. Medical Disclosure

Participants must disclose any relevant medical conditions prior to departure.

All participants must carry any personal medication required for the duration of the journey.


9. Accommodation & Travel

coldSTONE Mountain Works does not act as a package holiday provider.

Accommodation and travel arrangements are made directly by participants unless otherwise clearly stated.

Where baggage transfer or coordination assistance is offered, this is incidental to the guided service and does not constitute a package.


10. Insurance

Participants are responsible for holding appropriate personal insurance covering:

  • Cancellation
  • Personal accident
  • Travel
  • Mountain activities where applicable

coldSTONE Mountain Works holds public liability insurance covering guided and instructional activities.


11. Changes to Itinerary

Routes and itineraries may be altered due to weather, ground conditions, safety considerations or group capability.

The instructor’s decision regarding route choice and safety matters is final.


12. Data & Privacy

Personal information is held solely for the purpose of administering bookings and delivering journeys.

13. Governing Law

These terms are governed by the laws of England and Wales.
